Exploring the Best Ways to Trigger Automations from a Typeform Submission — What’s Working for You?

Hi all,

I’m working on a project where I use Typeform to collect survey responses, and I’m trying to set up reliable automation flows once someone submits a form. Specifically, I’d love to hear how others are handling one or more of the following challenges:

  • How do you trigger a downstream automation (e.g., sending a custom email, creating a record in a CRM, posting to Slack) immediately after a Typeform submission?

  • What tools or platforms do you use for this (native Typeform integrations, Zapier, Make/Integromat, custom Webhooks + code)? What pros/cons have you found?

  • Have you encountered issues with data mapping (e.g., hidden fields, custom metadata, complex answer types) when pushing Typeform responses into another system?

  • What best practices have you settled on to ensure your automation is resilient (handles failures, duplicates, conditional logic)?

  • If you’ve scaled this to a large number of submissions (hundreds or thousands/day), how have you optimized performance and error handling?

If you’ve got a real example or workflow you’re proud of (or one that taught you a lesson), I’d love you to share. Thanks in advance!

Hi @evelyngrace,

There are some native features and integrations that are offered within Typeform that you could use to achieve what you’re looking for.

To send a custom email after someone completes your form, you can do this with either Typeform’s Messages feature or Automations feature. With Messages, you can send a custom email to the respondent when they complete your form and you can set another action to send a Slack message. Automations is a new feature that has been released. You can send a custom email to a respondent when they’ve been added as a Contact to your Typeform account or when their Contact profile has been updated. With Automations, you’ll need to set up a custom email domain to send your emails and it’s available as an add-on feature. I’ll link some helpful articles below:

Zapier is a great and popular tool to use with Typeform if there isn’t already a native integration with the CRM tool you’re using. You can check out all our integrations on this page here.

I hope this helps you out a bit and let us know if you have any other questions!
