Trivia nights are always a hoot, but we wanted to put a Typeform spin on the concept. So we ran our first ever in-person trivia night for Typeform's Barcelona community, using the new Knowledge Quiz mode, plus a few well-placed integrations, and some meticulous real-world event planning.
The result? A night of laughs, learning, and lots of head-scratching.
Since soooo much went into setting this all up I wanted to document/templatize everything for next time. So I thought I'd break down how we built it all—from Typeforms and automations to cheat sheets and venue logistics—so you can also remix it or just play along online.

Tools we used:
- Typeform: For registration, round-by-round answers, and post-event feedback
- Zapier: For automating QR code generation, syncing answer data, and streamlining logistics
- Google Sheets: Used as our scoring backend with some manual checks
- Document Studio: Used to auto-generate digital tickets and name badges with QR codes for registration and easy LinkedIn networking.
- Canva/Figma: For ticket/badge templates, scoreboards, social posts, signage and winner graphics
- ChatGPT: Generating questions, multiple choice answers, and fun facts for each answer sheet – and generally being a companion for helping figure out logistics along the way.
- ME-QR: For auto-generating QR codes for each team
- Luma: Event listing platform that we used in parallel to the typeform to expand reach
- Spotify: Used for crowd-sourced playlist and for music round.
The Typeform pub quiz playbook
I'll walk through all the elements of how we built our Trivia quiz experience, dividing them into separate clips for the registration process, quiz and scoring, and event feedback.

Part one: Registration
In this section I explain how we brought people into the quiz using a typeform registration form, coupled with some integrations for auto-generating and sending digital tickets.

Here's how we built out the quiz questions using the Knowledge Quiz mode in Typeform, and how we automatically totalled up the scoring on the night with a Google Sheets integration:

The breakdown
If you don't want to watch through all the video guides, or if you just want a summary, I've listed out all of the elements here:
1. Typeforms we created:
- Registration form
- Collected contact details, crowd-sourced questions and playlist requests
- Triggered digital ticket generation via automation
- Triggered shared Spotify playlist (can be done via a Zapier automation)
- Quiz question/answer forms (1 per round)
- 5 themed rounds, each with dedicated typeforms, starting with this one
- Connected together using Redirects and UTM parameters,
- Feedback form
- Optional but helpful to collect learnings, especially if you run this again
2. Automations:
Virtual ticket:
🔄 Zap: QR code generator for ticket
- 🧩 Trigger: New Google Sheet row (triggered on Typeform response to registration form)
- 🔗 Action: Generate ticket QR code image link containing contact details text via ME-QR, used for guest check-in
🔄 Document Studio: Digital ticket generator & emailer
- 🧩 Trigger: Ticket QR code image link added to Google Sheet
- 🔗 Action: Generate digital ticket and send via email.
Name badge:
🔄 Zap: QR code generator for name badge
- 🧩 Trigger: New Google Sheet row (triggered on Typeform response to registration form)
- 🔗 Action: Generate badge QR code image link containing LinkedIn URL via ME-QR
🔄 Document Studio: Badge generator
- 🧩 Trigger: Badge QR code image link added to Google Sheet
- 🔗 Action: Generate name badge containing person's name, specialist subject and a QR code linking to their LinkedIn profile. Saved to Google Drive from where it can be printed onto sticker paper, cut out and handed to guests as they arrive.
Scoreboard:
- 🧩 Trigger: Quiz questions submitted for a round
- 🔗 Action: Send results to a Google Sheet, calculate running total and display it in a bar chart.
3. Event logistics:
Venue:
- Made a deal with a local restaurant to use their space (it was awesome)
- WiFi was critical for live submissions and score access
- Seating arranged in tables with one team (4 people) per table
Signage:
- Designed in Figma by Typeform's design team (though can be done in Canva)
- Created via a local roll-up sign supplier
Tech:
- 1 main laptop for slides and score tallying
- Used two screens to display the quiz questions/scoreboard in real time
- 2x microphones rigged up to speaker system
Hosts and helpers:
- Two quizmasters to lead the night (you might only need one!)
- Two helpers to check-in guests
- One videographer to capture the action
Partnered with The Tech Nation who paid for drinks tokens for guests, and supplied some prizes
4. Round Structure:
- Round 1: Food
- Round 2: TV & film
- Round 3: AI (questions supplied by the Tech Nation)
- Round 4: Music (played music clips via Spotify and ask questions related to that song)
- Round 5: General Knowledge (using the questions participants had submitted through the registration form, including video questions)
