How would you design a consultation intake form for a high-value service business?

Hi everyone! 👋

I work with a business setup consultancy in Dubai. Our clients are entrepreneurs deciding between Mainland, Freezone and Offshore company structures, and most of them have a lot of questions before they're ready to talk to anyone.

We're rebuilding our enquiry flow in Typeform, and I'd love to hear how others handle lead qualification for services where the sale is complex and trust matters.

Here's what I'm trying to figure out:

  1. Form length: How many questions is too many before someone drops off? We want to ask enough to route people properly, but not scare them away.
  2. Logic jumps: Has anyone used branching to send different visitors down different paths (e.g. startup founder vs. established company expanding)? How did you structure it?
  3. Phone numbers: Our audience is international. Any tips for the Phone Number field and country codes?
  4. Follow-up: What integrations work best for instant follow-up (CRM, WhatsApp, email notifications)? Speed matters a lot when someone is comparing providers.
  5. Trust: Any small design touches (welcome screen copy, privacy note, progress bar) that noticeably improved completion?

I'll share what works for us and post the results here so others can use them.

If you've built something similar for consulting, legal, real estate, finance or relocation, please share your approach or even a screenshot. Thanks in advance! 🙏

Thanks for sharing! I’d keep the form simple and save the detailed questions for the consultation itself.

  • Length: Try 5–7 questions to start. Ask only what you need for that first conversation, and check where people drop off.

  • Logic: Ask whether they’re starting a business, expanding, or just exploring, then show relevant follow-ups. Include “I’m not sure yet” when asking about their preferred setup.

  • Phone: Test the country-code selector on mobile with a few international numbers. Ask how and when they’d prefer to be contacted.

  • Follow-up: Send answers to your CRM, with a confirmation email for the lead and an alert for your team. For WhatsApp, use an external automation tool and get clear opt-in first.

  • Trust: Explain how long the form takes and what happens next. Add a short privacy note near the contact questions and consider a progress indicator.

I’d start short, then look at both completion rates and consultation bookings to see what’s working. 👍
