I need to share typeforms only to my organization, not a public share. Is there any way like a kind of password?

Hello,

i need to make about 50-60 typeforms but i don’t want to be accessible by everyone but just my organization (about 200 employees). I’m talking about populating, not building.

Thanks!

Hey @Dimitris there’s not a feature “out of the box” to do this, but there’s a relatively simple workaround to protect your typeforms with a password or access code. The steps are outlined in this Help Center article: https://www.typeform.com/help/a/protect-access-to-your-typeform-360029294452/

@James @Dimitris - just a thought to extend what @James said:

if you add a hidden variable/field into your typeforms - like v_access for example - when you publish and share the link to the folks in your firm, you can have the ‘access code’ as part of the url (a hidden variable being passed into the form(s)) and then use logic rules that say IF you have the access code that matches what is preset then you can get to the form. otherwise send the user to an ending that says - sorry you can’t access this form.

here’s how the link to this example form looks when you first create it:

https://desborough.typeform.com/to/uV9pNHkd#v_access=xxxxx

to make it accessible only to those in your company, to match the logic rule below, set the url to have the access code:

https://desborough.typeform.com/to/uV9pNHkd#v_access=132456

if someone is trying to access the url without the access code variable they will get to the ‘exit path’ below.

here’s the sort of logic map:

and here’s how i put in the logic rules

while this isn’t perfect it does take you part way there..

@john.desborough what if someone see the code while pressing F12?

and another one question: If i use typeform via API in a page with login credentials, is typeform link visible while pressing F12 or via API there is no way?

@Dimitris - how are you sending your forms to the folks in your company? if you are sending them via your internal email system, there should be no problems.. As @James indicated you can embed them in a web page inside your organization’s estate with a password to the actual web page ie if their internal log-in credentials can access the web page AND you put in place a specific password for your internal people to use to access the form, you have a fairly secure environment.

if someone internally shares the link and password with someone outside the organization, then your company’s internal information management policies should come into play .. and, assuming you have one in place, the user who shared the details would be in violation of the policy.

just my two cents.

@john.desborough lets say that an employee was fired and we want to terminate his access on typeform. So we will remove his credentials from web page that “host” via API typeform and now my question is: There is a possibility that if he had pressed F12 in the past he would have seen the typeform link? In other way, i’ m asking if anyone can se the typeform link while he is logged in to the “host” web page.

Hi @Dimitris I would agree with Des here, probably best to create a ticket and get the technical support team to help with this one if you’re thinking of going down the API route.

Let us know how you get on though, I’m sure there will be other users out there interested to hear what solution you went for 😊
