Notify me when response limite finishes


HI there,

 

Is there anyway I can get an automatic email when a custom response limit is reached? For example, I would like  to sign up businesses to a custom typeform and charge them for a certain amount of typeforms submitted, but would like to get notified when their limit is reached.

What an interesting use case and a fun lil’ brain-teaser! Thanks, @Liz for tagging me, Integromat could be of assistance here :slight_smile: 

The thing is @Jundi would need to set up the limit within the Integromat scenario rather than the Typeform interface. So, if that isn’t a problem, you would

  1. Choose the instant ‘Watch Responses’ Typeform module and
  • create a connection with your Typeform account
  • select the form you want to receive the responses for
  • check the ‘Enabled’ option

(If you were curious to see all the currently available triggers, actions and pre-made templates for Typeform, you can have a look at its integration page.)

  1. Add the ‘Increment function’ module. Now, what’s going to happen is that every time there is a new response, the increment function will increase by +1. (For more info about Increment function, you can check out this support doc.)
  1. After Increment function, you’ll add the Gmail/email ‘Send an email’ module and
  • establish a connection with your Gmail account
  • add the recipient of the email
  • specify the subject and the body of the email 
  1. Finally, you’re gonna need to set up some conditional logic so that when the increment function’s value is bigger than the submission limit, the email notification gets sent. To set the filter:
  • click the wrench symbol between the Increment Function and the Gmail module
  • label the filter
  • set up the condition so that If the Increment function’s value is greater than or equal to XY (the email gets sent).


And that’s it :muscle:

Hi @Jundi. Welcome to the Typeform Community :hugging:

 

It's not possible to receive an automatic email when a custom response limit is reached, but based on your use case, I totally understand how this would be useful for you.

 

Here is an idea: as a workaround, you could schedule your typeform to close when the custom response limit is reached. 

 

1. To do this, click on the settings button when editing your typeform:

Then click Access and scheduling.

2. A new menu will appear, where you can close your typeform. Our paid plans also give you the options to schedule a close date, set a response limit and show a custom closed message.

This feature allows you to program exactly when to close your typeform: great for competitions and time sensitive projects.

Hi @Jundi I can’t think of any integrations that would send an email off the top of my head, including Zapier, but @Michaela might know if this is possible using Integromat!

Wow @Michaela could not have asked for a better explanation!

I currently use Autopilot  for a lot of my work I never knew about Integromat! Looks amazing and I am actually going to sign up and try it out!

Hey @Jundi , my absolute pleasure, happy to help! :blush: 

If you enjoy working with tools that are visual - and based on the fact that you’re using Typeform and Autopilot, I’d say you might - definitely give Integromat a chance. With its editor, you can design automations that are based on your specific needs and visualize the logical flow of your data which I personally find really cool.
